If you’re still duct-taping together your wedding business systems (or avoiding them entirely), this episode is going to be a game-changer. In this conversation with my friend Cinthia Onines of Boda Bliss, we’re talking about how the right systems—back-end workflows, client experience tools, and even contingency plans—can transform your business from chaotic to calm.

II’ve always said that beautiful branding and visuals will open the door, but systems are what keep your business running once your client walks through it. And Cinthia? She’s one of the best people I know when it comes to helping wedding pros actually streamline the back end of their business in a way that feels sustainable.
From CRMs to project management platforms to full-blown contingency plans, Cinthia helps her clients ditch the chaos and build something that supports their life—not consumes it.
She shared something in this episode that really stuck with me: she compared running a system-less business to that I Love Lucy episode where the chocolates are flying down the conveyor belt. You’re scrambling, overwhelmed, and at some point, something’s going to fall through the cracks. Wedding business systems, when done right, bring order to that chaos.
Before Cinthia founded Boda Bliss, she spent nearly a decade in corporate and later worked as a wedding planner in Chicago. After briefly trying her hand at bookkeeping (spoiler alert: it wasn’t the right fit), she realized her real passion was helping creative entrepreneurs and wedding pros get their back-end systems in order.
That pivot led her to rebrand—and we got to work together on creating a name and brand identity that honored her Mexican heritage while reflecting the experience she offers her clients. Boda means wedding in Spanish, and Bliss is the feeling she hopes every client walks away with. The result? A brand that’s warm, intentional, and deeply personal.
Her brand shoot brought that vision to life with meaningful details—Frida Kahlo art, Mexican mugs, pastries, and florals—all subtly woven in to celebrate her roots and convey her holistic, supportive approach.
You can explore the Boda Bliss brand and see how we brought Cinthia’s vision to life over at Emily Foster Creative.
When Cinthia first transitioned into systems consulting, she was still using her old business name—Modern Penny. The problem? It sounded like a financial brand, and she kept getting inquiries about taxes, loans, and bookkeeping help.
That experience is a powerful reminder: your brand name sends a signal. If that signal doesn’t match what you actually offer, it’s going to confuse (or repel) the right people. Creating “Boda Bliss” wasn’t just about aesthetics—it was a strategic move to attract aligned clients and communicate exactly what she does.
Something we touched on in the episode—but is worth emphasizing—is the importance of documenting your processes. It’s one thing to have workflows in your head. It’s another to have step-by-step SOPs (standard operating procedures) that someone else can follow.
Whether it’s training a VA, preparing for an emergency, or just reducing decision fatigue, written systems are one of the most underrated tools in your business. The more you document, the more freedom you give yourself.
Cinthia’s story reminds us that systems aren’t only for the big “what if” moments. They’re also for the day-to-day decisions that quietly drain your energy. Things like:
Wedding business systems give you more than time—they give you mental space.
Here’s a thought we didn’t say out loud in the episode—but it’s baked into everything Cinthia shared:
Your energy is one of the most valuable resources in your business.
When your systems are a mess, your energy goes toward fixing problems. When your systems are streamlined, your energy goes toward creating, serving, and leading.
This is especially important for wedding pros, whose work is emotionally demanding. You’re not just planning events—you’re guiding people through one of the biggest days of their lives. Having supportive systems in place protects your energy so you can show up fully.
Here’s something that comes up often when Cinthia audits a business: gorgeous websites paired with outdated processes.
We’re talking $10k+ websites, beautiful luxury branding… and behind the scenes, client contracts are still being printed, signed by hand, scanned, and emailed back. The disconnect is real—and damaging.
→ Your website and your workflow need to speak the same language.
→ If the front-end screams “premium,” your back-end can’t whisper “paper trail.”
Aligning your brand with your systems creates a seamless, trustworthy client experience from first click to final invoice.
Let’s talk about the un-glamorous but incredibly important part of business most creatives ignore: the contingency plan.
Cinthia described it best—your contingency plan is your emergency kit. It’s not about the Plan B for a rainy wedding day. It’s about what happens if you are the one who suddenly can’t show up. Whether it’s illness, injury, or a family emergency, your business needs a plan that someone else can step into—fast.
After experiencing her own health emergency, Cinthia built what she calls an “emergency tree”—a document with trusted vendor contacts, logins, SOPs, and pre-written emails to keep her business running even if she couldn’t. It’s one of the smartest things I’ve seen a wedding pro implement.
Here are the 7 essentials Cinthia recommends every wedding business document in case of emergency:
✨ Cinthia even has a free Emergency-Ready Business Checklist you can download to start organizing these items—head to BodaBliss.com to grab it!
Not sure where this should live? Cinthia recommends having it in two places:
Name the folder something obvious like “Read Me – Emergency Plan” so no one’s left guessing if something urgent happens.
Cinthia made a really important point about choosing the right tech for you—not just what’s trending.
We’ve all seen tools like ClickUp or Dubsado become the gold standard in the creative space. But that doesn’t mean they work for your brain. If it’s overly complex or confusing, it’s going to create more stress—not less.
💡 The takeaway? Don’t force a platform just because it’s popular. The best wedding business systems are the ones you actually use.
As part of her audit service, Cinthia helps clients identify the tools that align with how they think—even if that means switching platforms or simplifying entirely.
Many pros try to use their CRM for everything, but Cinthia explains that project management tools and CRMs serve different purposes.
And if you do want to use PM tools client-facing? Test them with someone outside the industry. If your cousin or your spouse doesn’t get it, your couple might not either.
Most of the people who come to Cinthia are already overwhelmed. They’ve hit that point where client emails are falling through the cracks, deadlines are being missed, and business is growing faster than they can manage.
This isn’t just about stress—it’s about sustainability.
Wedding business systems protect your time, your energy, and your reputation. Because when communication slips or service feels inconsistent, your clients will notice—and so will your Google reviews.
Cinthia doesn’t stop at the client workflow. She also helps wedding pros simplify their marketing systems—whether that’s managing Pinterest workflows, streamlining content creation with tools like Engie, or creating a calendar that actually makes sense.
If you’ve ever stared at your social media scheduler thinking “what the heck do I post?”—you’re not alone. Systems help you shift from reactive to intentional.
And yes—she offers marketing audits, too. Because sometimes your system isn’t broken… it’s just bloated.
We don’t start businesses just to work 24/7—we start them to have time, freedom, and purpose. But if your systems aren’t supporting you in both the good and the hard seasons, it’s time to re-evaluate.
This conversation with Cinthia is one of my favorites because it’s not just about organizing your tech stack—it’s about creating a wedding business that can withstand real life.
